Student Group Travel Tips

  • Remember, you are respresenting your school or organization.
  • Please treat everyone with respect.
  • Check the weather regularly and pack the appropriate attire.
  • Don’t forget to say PLEASE and THANK YOU.
  • Always communicate with your chaperones; they should know where you are at all times.
  • If you feel ill, tell your chaperone immediately.
  • Review your itinerary regularly & Arrive on time for all scheduled events.
  • Eat properly & sleep at night.
  • Most importantly: THINK SAFETY FIRST

Are you a chaperone? Here are some helpful tips for you!

  • Remember this trip is designed for the STUDENTS. Be patient, flexible & helpful.
  • Make sure everyone understands all instructions.
  • Communicate with your students & get to know them by name.
  • Make sure hotel rooms are in order upon arrival and departure.
  • Monitor rooms at curfew. The curfew rules must be enforced.
  • Moving a large group takes time. Make sure your students are up each morning on time.
  • Report any rule violations to the School Director.
  • Be courteous and helpful; correct if necessary, but do not antagonize.
  • You cannot grant a favor for one student unless you can do it for everyone!
  • Again, be patient, flexible & helpful.

  • Do not leave personal items on the coach overnight. The motor coach company, the school or organization and Southwestern Travel are not responsible for any lost or stolen items.
  • Food is allowed on board. All drinks should be in plastic screw-top bottles.
  • The coach must be kept clean. Please check your area & take all trash with you when you disembark.
  • Never flush foreign objects in the toilet.
  • Don’t forget, once the chemical flush is full, it is unusable; use rest stops when possible.
  • Do not disembark until your Tour Director releases you.
  • NO Flash Photography while on board the motor coach! It is distracting to the driver.
  • Remain seated while the coach is in motion. Most accidents occur when passengers are standing in the aisles.
  • Listen to emergency procedures and know how to use emergency window exits.
  • Most importantly: THINK SAFETY FIRST

Hotel Tips and Instructions

  • Read the fire instructions on the back of your room door & know where the nearest fire emergency exit is located on your hall.
  • In case of fire, never get into an elevator.
  • Never give out your room number or phone number to strangers.
  • Make sure you know how to contact the front desk & your group chaperone’s room.
  • Never leave your valuables or passport in your hotel room while you are out. Use the hotel safe for all valuables when possible
  • Make sure your hotel door is shut and locked behind you.
  • Keep door locked & chained & never open your hotel room door to a stranger.
  • You must be in your room by curfew.
  • No one is to enter or exit the room after curfew except chaperones or staff, or in the event of an emergency.
  • Keep the noise level down.
  • Elevators are for all hotel guests; respect the other guests.
  • Telephones are not allowed to be used after curfew except in an emergency.
  • You are responsible for outside phone charges to your room.
  • Keep your room locked! Keep track of the key.
  • No student at any time is allowed in the room of a person of the opposite sex.
